Booking Group Flights offers many benefits, but can be a confusing process, Aviate Groups takes the stress out of booking group travel. No matter how large your group is, Aviate Groups can organize flights and manage the booking from beginning to end. We use our experience of the market and relationships with major airlines to guarantee you the very best fares to any destination in the world.
Our ethos is customer service led, and our friendly and knowledgeable Groups Team are here to help you plan and manage your Group Bookings. When you book your flights with Aviate you are protected under our ATOL.
The process varies from airline to airline, but the basic principles are:

An Airline will offer us a guaranteed Group fare providing the group consists of at least 10 passengers (less for business or first).
We will usually be able to hold (option) the seats for a period of time to allow you to confirm other travel arrangements. (This varies by airline but is usually at least 1 month)
At the end of the option period the airline will require a deposit for each seat held. (This is usually around £150 or 25% of the fare, per person).
Around 2 months before your departure date the airline will require the balance of the fare (+ taxes) for all passengers travelling. The number of people travelling can usually be reduced by up to 20% without incurring any penalties or loss of deposits. Again this varies by airline.
At this point (later with some airlines) your list of passenger names will need to be provided.
We will then issue e-tickets and supply all documentation. As stated above the rules governing groups are different for every airline. Aviate will clarify all key dates and rules for the operating airline for each group booking made.
The terms & Conditions governing the booking of Groups vary from airline to airline. We will use our experience to ensure these are fair, and negotiate points on your behalf if necessary.

Customer Service Team Leader - Groups
After moving to Cheshire from High Wycombe, Sam joined us as our Groups specialist. In August 2015, she was promoted to Groups Team Leader and leads a team of three group sales coordinators, issuing over 5000 tickets per year. She has been with us for 2 years and 4 months. Sam describes herself as Patient, because; “Patience is key when working in group travel”.
Sales Executive – Groups
Chloe joined the Aviate team in January 2015 and originally worked within the Groups customer service team. Chloe joined the Sales and Business Development team in January 2017 and now nurtures existing accounts as well as bringing on new ones. Chloe also allocates all of our lovely FAM trips. She's the bright spark in our team!
Customer Service Executive – Groups
Katie couldn’t wait to leave the financial services industry and start working back in travel at Aviate. She has been with us just over a year now and enjoys building relationships with an array of different groups– She also relishes the fact that customers keep returning again and again for their group travel needs. We asked Katie how she would describe herself and she said simply; “Kind, its costs nothing to be kind and can make someone’s day”.
Groups Senior Customer Service Executive
Kay is our Senior Groups Booking Coordinator on the Aviate Groups team and is also involved in staff training and development. She started off working in the groups department for our sister company Lime. Kay moved over to Aviate Groups on a temporary contract in September 2016 and ended up staying! She's an asset to the team and her knowledge of airlines, routes and schedules is second to none.
Groups Customer Service Executive
Sarah began working for Aviate October, 2016.
She works for the Groups Department and her job role entails dealing with the majority of airlines in accommodating groups travelling all over the world. Sometimes her role involves quoting with numerous airlines for alternative routes to provide the best fares. Sarah enjoys building up relationships with our clients, getting to know each group.
Sarah is happy, friendly and always willing to help with the most complex group bookings.
Groups Sales and Business Development Executive
Stacey started with our sister company Lime in October 2010 and is now works on Aviate Groups. She is our Sales and Business Development Executive and manages all of our Group Accounts and is excellent at building relationships. Stacey always goes the extra mile and sees all projects through to completion. Stacey is an excellent networker and is the Aviate 'social butterfly'.
